Job Description: Bookkeeper
Position Title: Bookkeeper / Staff Accountant
Summary: The Bookkeeper is responsible for managing daily financial transactions, maintaining accurate records, and assisting with the smooth operation of the company's accounting functions. This position demands a detail-oriented approach, reliability, and the ability to work efficiently across several financial tasks.
Key Responsibilities
- Check daily bank balances, monitor deposits, and reconcile all bank accounts to ensure records are accurate and up to date.
- Reconcile all chart of accounts in QuickBooks, including vehicle and tax accounts, maintaining thorough and organized entries.
- Process payroll, including mileage tracking, sick time, vacation time, employee allowances, health insurance, and onboarding new employees.
- Assist with month-end and year-end closing procedures, ensuring all entries are posted and reconciled in a timely manner.
- Pull and organize tax reports for weekly payroll, monthly and quarterly taxes, as well as W-2s and 1099s; collect tax documents for external accountant review.
- Manage accounts payable by creating spreadsheets of bills due, prioritizing payments, and paying bills online or issuing checks as needed.
- Prepare and manage AIA forms for commercial contracts as required.
- Notarize documents when needed, providing administrative support to financial operations.
- Generate regular financial reports, such as Profit & Loss statements, Balance Sheets, and Cash Flow statement, to aid management decisions.
- Collaborate directly with CPAs to ensure the integrity of financial records and support for audits and tax preparation.
Qualifications
- 3 or more years of bookkeeping/accounting experience
- Associate degree or higher in Accounting, Bookkeeping, Finance, or a related field preferred.
- Proficiency with QuickBooks and Microsoft Office Suite required.
- Strong attention to detail, organizational skills, and ability to multitask.
- Ability to prioritize tasks and meet deadlines consistently.
- Effective communication and teamwork skills.
- Notary Public certification is an asset.
